This policy explains what personal information Birch River Horizon (“we”) receives when you use this website or write to us, why we use it, who else is involved, and how you can ask us about it. We handle personal information in line with Japan’s Act on the Protection of Personal Information (APPI). We have tried to describe only what the site actually does; if the site changes, this page will change with it.

2. What this site collects
This website has no user accounts, no shop, no comment system and no analytics or advertising tags. The information we receive comes from only two places.
Information you send us
If you use the enquiry form on the home page or the contact page, we receive what you type: your name, your email address, your phone number if you add one, the topic you select, your preferred timing, and your message. If you write or call us directly, we receive whatever you choose to tell us, along with your email address or phone number.
Please keep your messages short and general. Do not include health details, medical history, religion, account numbers, passwords, My Number or other ID numbers. Information about health and beliefs is treated as special care-required personal information under the APPI, and we do not need it to answer a first enquiry. If you send it anyway, we may ask you to resend your message without it.
Information your browser sends automatically
When a page loads, your browser requests the typefaces from Google Fonts (fonts.googleapis.com and fonts.gstatic.com). Google therefore receives your IP address and browser details, as it does for any site that uses its fonts. We do not receive that information from Google and do not add it to any record about you. If you open one of our map links, you leave this site for Google Maps, which has its own policy.
3. Why we use it
- To read your enquiry and reply to you by email or phone.
- To arrange a first conversation, and, if you later ask us to work with you, to prepare a written scope and quote.
- To keep a record of what we discussed, so that you do not have to explain it twice.
- To answer a request you make about your own information (see section 7).
We do not use your details for newsletters, marketing lists or advertising, and we do not sell them.
4. The form service and other third parties
The enquiry forms do not send mail from this website itself. They post to formsubmit.co, a third-party form relay, which forwards the message to our mailbox. This means your submission passes through that service’s systems on its way to us. We do not control formsubmit.co, we cannot tell you where its servers are, and its operators may handle your data outside Japan under their own terms. If you would rather not use it, email or call us directly using the details above.
Our email is provided by a mail service we use for the address office@birchriverhorizon.com, and messages we exchange with you are stored there. Apart from these service providers, we do not share your personal information with anyone else unless you ask us to, or the law requires it (for example, in response to a lawful request from a court or authority).
5. Local storage and cookies
We do not set cookies. The planning tools page can save your checklist ticks in your browser’s local storage, under keys named check-0 to check-11. That data stays on your device and is never sent to us. Details are in our Cookie Policy.
6. How long we keep it, and how we protect it
We keep enquiry emails for as long as we reasonably need them to deal with your request and to keep a record of it, and we delete them when they are no longer needed or when you ask us to, unless the law requires us to keep them. We have not set a fixed number of months.
We take reasonable care of the mailbox and devices we use. Web forms and email are not private channels, however, and we cannot promise that a message will not be intercepted, lost or mis-delivered on the way. For that reason we ask you not to send sensitive details in your first message.
7. Your rights
Under the APPI you may ask us to tell you what personal information of yours we hold, to correct it if it is wrong, and to stop using or to delete it in the circumstances the law provides. To make a request, write to the email address or postal address above, or call. We may need to confirm that you are the person concerned before we act, and we will reply as promptly as we reasonably can. If you are not satisfied with our answer, you can also contact the Personal Information Protection Commission of Japan.
8. Visitors from outside Japan
This site is aimed at people in Japan. If you write to us from another country, your message is still handled in Japan and by the third-party services described in section 4, and you should take that into account before you send it.
9. Changes to this policy
If we change what the site does, for example by adding a new tool or a different form service, we will update this page and the date at the top. Please look at it from time to time.
